Invoicing a business is different

Businesses pay invoices through an accounts team, not the person who booked you. That team needs three things to approve your invoice: the company’s legal name exactly as it appears on its ABN, the ABN, and the purchase order number if the business uses them. Ask the person who booked you for all three before your first class.

Send the invoice to the accounts email they give you, and copy in the person who booked you.

Private clients

For one-to-one sessions in a client’s home or online, invoice weekly or fortnightly with one line per session and its date, or sell a block of sessions in advance as a single line.

What the invoice should show

  • Your name or business name, and your ABN.
  • For a business: its legal name, its ABN, and the purchase order number.
  • One line per class or session: what it was, how long, and the date.
  • The total, the GST if you are registered, the due date, and your bank details.

Registered for GST?

What is a purchase order number?

A reference a business creates when it approves spending with you. Many accounts teams cannot pay an invoice without it, so ask for it before your first class and put it on every invoice.

Whose name goes on an invoice to a company?

The company’s legal name as it appears on its ABN, not the name of the person who booked you. Address the email to the accounts team and copy in your contact.

Should I charge a business the same rate as a private client?

That is your call. Many teachers quote corporate classes separately because they include travel and set-up, and agree the rate in writing before the first class.
