Tutoring invoice template
A tutoring invoice lists each session on its own line with the date, the student and the subject, and is made out to the person who pays, usually a parent. Add your ABN, your payment terms and your bank details, and send it on the same day each week or fortnight.

Who the invoice goes to
Make the invoice out to the person paying, not the student. For a school-age student that is a parent or guardian. Put the student’s name on each line, so a family with two children in tutoring can see which sessions belong to whom.
What a tutoring invoice should show
- Your name or business name, and your ABN.
- The parent’s name, and an invoice number that never repeats.
- One line per session: the date, the student, the subject, and the session fee.
- The total, and the GST if you are registered.
- When payment is due, and your bank details with the invoice number as the reference.
Paying in advance for a block of sessions
Some tutors sell a block, such as a school term of weekly sessions, paid before the first one. Invoice the block as one line that says how many sessions it covers and over what dates, then list the sessions on later invoices only if the family asks.
Cancellations and missed sessions
Decide your cancellation rule before you start, tell families in writing, and repeat it in the notes of every invoice. A rule a family has seen many times is one you rarely have to enforce. The template has a line ready for it.
Registered for GST?
Then title it "Tax invoice" and show the GST. If you are not registered, title it "Invoice" and leave GST off, but keep your ABN on it. The maker switches between the two for you, and the full list of what a tax invoice must show is on the tax invoice template page.

Questions people ask
Should I invoice per session or per week?
Weekly or fortnightly is easier for you and for families, with one line per session. Invoicing after every session means more invoices to chase.
Do I put the student’s name or the parent’s name on the invoice?
Both. Make the invoice out to the parent who pays, and put the student’s name on each session line.
Can I charge for a session the student missed?
Yes, if your cancellation rule says so and the family agreed to it before the session. State the rule in your notes so it is never a surprise.
