Most music teachers invoice by the term, in advance: one line showing how many lessons the term holds, how long each lesson is, and the term dates. Send it before the term starts, with a due date before the first lesson.

Why term billing works

Billing the term up front means one invoice per student per term instead of one a week, and it is paid before the work rather than after it. Families plan around school terms already, so a term invoice arrives when they expect it.

Enter the number of lessons as the quantity and your per-lesson fee as the rate, and the maker works out the total.

What a music lesson invoice should show

  • Your name or studio name, and your ABN.
  • The parent’s name, the student’s name, and the instrument.
  • The term, its dates, and how many lessons it holds.
  • The lesson length, because a 30 minute and a 45 minute lesson are priced differently.
  • The due date, and your bank details with the invoice number as the reference.

Missed lessons and make-ups

Write down what happens when a student misses a lesson and when you cancel one, and put it in the notes of every term invoice. The template starts with a common version, a student’s missed lesson is not refunded and a lesson you cancel is made up, which you can change to suit your studio.

Starting partway through a term

For a student who joins after the term has begun, invoice only the lessons left in the term, and say so on the line: “6 of 10 lessons, starting [date]”.

Registered for GST?

Then title it "Tax invoice" and show the GST. If you are not registered, title it "Invoice" and leave GST off, but keep your ABN on it. The maker switches between the two for you, and the full list of what a tax invoice must show is on the tax invoice template page.

Should music lessons be paid in advance?

Many teachers ask for payment before the first lesson of each term. It is simpler to chase one invoice per term than one per week, and it is paid before the teaching rather than after.

How do I invoice a student who starts mid-term?

Invoice only the lessons left in the term, and write how many on the line, for example 6 of 10 lessons from the start date.

Do I need to refund missed lessons?

That depends on the policy you set and the family agreed to. Write it down before the term starts and repeat it on every invoice.
